Who are we?

Ngoko Safaris is a privately owned UK company specializing in tailor-made safaris and luxury safaris throughout Southern Africa. 

Any personal information provided to us is controlled by Ngoko Safaris Limited, a company incorporated in England & Wales (company registration number 05663445) (“Ngoko/we/us”). We are registered with the Information Commissioner with number Z9358001.

What is the purpose of this privacy policy?

This privacy policy explains what personal data we may collect from you including how and why we do it.

We will only process your personal data as set out in our privacy policy or otherwise notified to or agreed by you or as we are otherwise permitted to do in accordance with UK data protection legislation.

What personal data will we collect from you and how will we do this?

To respond to an enquiry or to process and fulfil a booking, we need to collect personal data from you. When we refer to personal data, we mean any information which relates to an identified or identifiable individual.

You may provide personal data to us over the telephone or in emails to us. Please do not provide your personal data to us if you are not happy for us to process this information in accordance with this privacy policy. If you book on behalf of others, you are responsible for ensuring that the others are aware of the content of this Privacy Policy and are in agreement with you supplying their personal data to use to make a booking or enquiry.

Examples of when and how we may collect your personal information include the following:

If you make an enquiry, we will ask for your name, telephone number and email address. We will also request details of your holiday preferences and any special requirements, in order to effectively respond to your request and tailor an itinerary to suit your needs.

To process and fufil your booking, we need to collect personal information of all persons travelling. These details will include, where applicable:

  • full names
  • passport details
  • date of birth
  • contact details
  • for bookings including light-aircraft transfers, the body-weight of all passengers will be required for safety purposes
  • name and contact details for an emergency contact
  • special requirements such as those relating to any disability or medical condition which may affect the chosen holiday arrangements and any dietary restrictions which may disclose your religious beliefs
  • credit/debit card or other payment details

If we need any other personal details, we will request them from you, explaining why they are required.

Legal basis for using your personal information

We will only collect, process, use, share and store your personal information where we are satisfied that we have an appropriate legal basis to do this. This may be because:

  • we need to use your personal information to perform a contract or take steps to enter into a contract with you.  For example, to manage your booking with us, to take payment for your booking, or to complete your travel arrangements;
  • we need to use your personal information for our legitimate interest. For example, for regular customers we may retain some personal information so that we can use it when you next book with us as we have a legitimate interest to improve our customer experience and ensure we look after our regular customers. In all such cases, we will look after your information at all times in a way that is proportionate and that respects your privacy rights;
  • we need to use your personal information to comply with a relevant legal or regulatory obligation that we have.  For example, in some countries we are required to provide API to border control, customs and law enforcement officers at ports of entry and exit on your itinerary;
  • we have your consent to using your personal information for a particular activity.

How do we use this information?

We may use your information to contact you regarding an enquiry you have made, to plan and process your holiday, notify you of any changes to your booking and ask you to provide feedback on our services.

We may collect and use information from various sources in connection with the marketing and advertising of our services. This may include your contact details (and your marketing preferences) to contact you with certain marketing messages by email. 

You can withdraw your consent to receiving communications from us at any time by e-mailing graeme@ngoko.com or by replying to an email with “unsubscribe” in the subject line. 

Who has access to your personal information?

We will not share, sell or rent your information to third parties for marketing purposes.

When you make an enquiry or a booking we will be passing on appropriate personal information to third-party providers which may include ground handlers, airlines, hotels, local partners, and other associated organisations for the purposes of providing services to you on our behalf. We cannot fulfil your enquiry or booking if we do not pass this information on. In making your booking or booking enquiry, you consent to your personal data being passed on to the relevant persons.

Once your booking has been made, your personal data may also be provided to government / public authorities such as customs or immigration if required by them, or as required by law. Certain information may also be passed on to security or credit checking companies.

Cookie Policy

Our website uses cookies. A cookie is a small piece of information sent by a web server to a web browser, which enables the server to collect information from the browser. These cookies do not contain any personal identifiable information.

Where will we process your personal data?

We will  store, use and otherwise process your personal data within the UK. However, for the purposes of IT hosting and maintenance your information may be situated outside of the European Economic Area (EEA).

When we use third-party service providers, we disclose only the personal information that is necessary to deliver the service. At least some of these companies and organisations will be located outside the EEA given the destinations we feature. Please bear in mind that Data Protection controls and regulations may not be as comprehensive as in the country where you live.

How do we protect your personal data?

Data security is of the utmost importance to us and we are committed to ensuring information we collect from you is secure. In order to prevent unauthorised access or disclosure, we have appropriate measures and safeguards in place to protect your personal data from unauthorised access, misuse, alteration or loss.

Retention of your data

If you have provided personal data to support an enquiry or booking, we will retain this information for a period of ten years after the end of those arrangements when it will be destroyed.

If you have consented to receiving marketing communications from us, or if we stay in touch by email, we may continue to use your personal data for this purpose until you withdraw your consent or otherwise for as long as we reasonably consider your consent remains valid and effective.

What are your choices?

You can ask us what personal data of yours is being held or processed, for what purpose and to whom it may be or has been disclosed. We will respond to your request within one month and at no fee.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
